HOW TO BOOK

After we have made a decision, what are the next steps in formalizing our booking or confirming our trip?

1. Confirm legal names as they appear in your respective passports.
2. Provide name of credit card holder.
3. Credit card billing addresses and phone number.
4. Type of credit card (We accept Visa and Mastercard).
5. Credit card number.
6. Expiry date and three digit code on back side of card (Please send by separate email).
7. Once we receive this information we will formally begin to process your safari reservations.
8. 40% of the total amount is due upon confirmation. Balance will be due 90 days before departure.
9. We shall then send the confirmation details for your approval (ie: invoice, confirmed itinerary and trip authorization).
10. When immediately signed authorization is received, Lets Travel Kenya will send your safari preparation kit.

 

DEPOSITS, BALANCE DUE DATES, SPECIAL RATES

How much is required to reserve my safari?

Upon confirmation, a deposit of 40% of the total is required. However, full payment is required if your safari is less than 90 days away.

Once we make a deposit, is the price locked in?

Yes.

When is the final payment due?

The final payment is due 90 days prior to departure.

Is there a discount for early payment in full?

This depends on several factors, including the length of the safari, properties visited, size of group, and how early the payment is made. Ask us!

Are there special rates for children?

Children below the age of 11 years travel at 70% of the adult rate when sharing a room with two full paying adults. If a child shares a room with one adult or with another child the full adult rate applies.

What does “Single Room Supplement” (SRS) mean?

This is a surcharge applied when a traveler chooses to have a room to themselves. All of our listed prices are based on two people sharing a room.

CANCELLATION POLICY

What is your cancellation policy?

While any cancellation is regrettable, significant planning and administrative resources are committed long before departure and as a result, a cancellation charge is applicable for each cancellation.

Upon receipt of written notice of cancellation, the following condition will be followed:

• 90 days or more prior to departure: Initial Deposit is non-refundable, but will be retained as a Future Credit to be used towards a Safari booking within 12 months from the cancellation date.
• 89 to 45 days prior to departure: Full refund less 33% of the safari’s total cost.
• Less than 45 days prior to departure: No refund.
• Airfares are non-refundable.

Do you assist with airline bookings?

We sure do. Our airline reservations experts would be happy to assist you with airline reservations within East Africa.

How many hours is the flight to Kenya/Tanzania from the United States?

Most flights from the United States stop in London or Amsterdam on their way to Nairobi, Kenya or Arusha, Tanzania. A flight from New York to Amsterdam/London is seven hours or so. Amsterdam/London to Nairobi/Arusha is eight and a half hours. Total flight time with no layovers is 15 to 16 hours.

Are airport transfers included if we make our own flight arrangements to Africa?

Our airport meet and greet service is part of your safari.

TRAVEL INSURANCE

Do I need travel insurance?

We highly recommend travel insurance. Between missed connections, lost or delayed luggage, or medical emergencies, insurance offers you the peace of mind that your vacation investment is well protected.

Lets Travel Kenya is insured against legal liabilities arising from injuries which may be incurred by passengers in its own vehicles, subject only to the jurisdiction of the courts of any country we operate.  With the uncertainties of today’s world, we recommend that you get full comprehensive personal insurance (THIS IS A MUST) for any and every eventuality, this can be obtained through your own travel agents, airlines or your own traditional insurance company.

REQUIRED DOCUMENTATION FOR TRAVELING

What are the required documents for traveling?

It is the responsibility of each traveler to have a valid passport, any necessary visas, proper identification such as a birth certificate or citizenship card and any travel documents they need for flying to any country or crossing any borders.

In case of children (persons under 18 years of age) travelling without both parents present, the accompanying adult is required to have the following documents to confirm and support that they are authorized to take the minor(s) across borders.

• Legal Consent letter confirming that the child has permission to travel abroad. It is recommended to have it Notarized as it will ensure that all the correct information is on this letter.
• Child’s supporting identification, such as a birth certificate or citizenship card
• Other legal documents, such as divorce papers, custody court orders or a death certificate (if one parent is deceased)
Check with the nearest embassy or consulate of each country you are planning to visit about additional entry requirements, and check Country Advice and Advisories for other laws and regulations affecting children.
